2. Overview
This application is the closed members area of Samurai Karate International. Accounts are created exclusively by the organisation; there is no public sign-up. We do not use analytics or tracking tools, show no advertising and embed no content from external providers, such as fonts, video platforms or social media plugins.
3. Hosting and server log files
The application is hosted by: STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Deutschland.
With every page request the server automatically processes data sent by your browser: IP address, date and time, requested address, HTTP status code, amount of data transferred, the previously visited page, and browser and operating system. This is necessary to deliver the application and keep it secure. The legal basis is our legitimate interest under Art. 6(1)(f) GDPR. Log files are deleted as soon as they are no longer needed for these purposes.
4. Cookies
We only use cookies that are technically necessary:
- a session cookie that stores your login and chosen language and expires after 120 minutes of inactivity,
- a cookie that protects against cross-site request forgery,
- if you choose “Remember me” when logging in, a cookie that recognises you until you log out.
These cookies are strictly necessary for the service you requested (§ 25(2) no. 2 TDDDG, Art. 6(1)(f) GDPR) and do not require consent.
5. Member accounts and gradings
For your account we process the data recorded when it is set up: name, e-mail address, password (stored only as an encrypted hash), date of birth, gender, address, phone number, dojo, membership date, photo and notes, as well as your gradings with grade, date, location, examiner and related documents.
The purpose is to manage membership and gradings and to provide access to the training content. The legal basis is Art. 6(1)(b) GDPR. Only administrators and instructors can access this data, within the scope of their role. As Samurai Karate International operates worldwide, instructors outside the European Union may access the data of their members.
We delete the data as soon as it is no longer needed for these purposes, unless statutory retention obligations apply.
6. Training videos
Videos are delivered directly from our server and only to logged-in members. No third-party video platforms are embedded.

You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21).
